Truck-Files is a service operated by Verleij Services BV, registered in the Netherlands. This privacy policy explains how we collect, use, and protect your personal data when you use our ECU tuning file platform at www.truck-files.com.

When you create an account and use our services, we collect the following personal data:

• Account information: Your name, email address, company name, and phone number.
• Vehicle information: Make, model, build year, engine type, and chassis number of vehicles associated with your uploaded files.
• Uploaded files: ECU files you upload to our platform for processing.
• Payment data: Transaction records and credit purchase history. Payment details are processed by MultiSafePay and are not stored by us.
• Usage data: File upload history, download records, and timestamps.

3. How We Use Your Data

We use your personal data exclusively for the following purposes:

• To provide and manage your account on our platform.
• To process and deliver your ECU tuning files.
• To send you transactional emails (upload confirmations, file ready notifications, payment receipts).
• To process payments for credit purchases via MultiSafePay.
• To comply with legal and financial record-keeping obligations.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

4. Legal Basis for Processing

We process your personal data on the following legal grounds under the GDPR:

• Contract performance: Processing your files and managing your account.
• Legitimate interest: Sending transactional communications related to your orders.
• Legal obligation: Retaining financial records as required by Dutch tax law.

5. Third-Party Services

We use the following third-party services that may process your data:

• MultiSafePay: For processing credit card and other online payments. Subject to MultiSafePay's own privacy policy.
• Brevo (Sendinblue): For sending transactional emails. Your email address is shared solely for delivery purposes.

6. Data Retention

We retain your account data and uploaded files for as long as your account is active. If you request account deletion, we will remove your personal data within 30 days, except where retention is required by law (e.g. financial records are kept for 7 years per Dutch fiscal law).

Under the GDPR, you have the following rights:

• Right of access: Request a copy of the personal data we hold about you.
• Right to rectification: Request correction of inaccurate or incomplete data.

Truck-Files uses only a session cookie required for authentication. We do not use tracking or advertising cookies.
